2. What we collect and why
Enquiry forms and chat
Our landing pages, contact page and chatbot collect the following.
| Data | Required | Why |
|---|---|---|
| Name | Yes | To address you properly in our reply |
| Email address | Yes | To respond to your enquiry |
| Phone number | Yes on the contact form, optional elsewhere | To call you back if you prefer |
| Service you enquired about | Automatic | To route your enquiry to the right person |
| City and country | Automatic | Taken from the page you enquired through |
| Timeline and project notes | Optional | To understand your requirements before we reply |
Lawful basis: legitimate interests — responding to an enquiry you chose to send us.
Booking a call
Booking links take you to Calendly. Anything you give Calendly is handled under Calendly’s own privacy policy, not this one.
Our pages include a WhatsApp contact link. Messages are handled by WhatsApp under Meta’s privacy policy. We see your WhatsApp profile name and number, as in any WhatsApp conversation.
Analytics
We use analytics to understand which pages get read and where visitors arrive from. Nothing loads until you agree. No analytics cookies are set and no data is sent to Google unless you click Accept on the cookie banner. If you click Reject, nothing loads and we remember that choice.
Lawful basis: consent, which you can withdraw at any time.
What we do not do
- We do not sell your data.
- We do not share it for anyone else's marketing.
- We do not add enquiry contacts to a marketing list without asking.
- We do not use automated decision-making or profiling that produces legal effects.
3. Who we share it with
We use the following processors. Each receives only what it needs.
| Service | What it handles |
|---|---|
| Supabase | Database storing enquiry records |
| Vercel | Website hosting and delivery |
| Resend | Confirmation and notification emails |
| Brevo | Contact form emails |
| Google Analytics / Tag Manager | Website analytics — only with your consent |
| Calendly | Call scheduling, if you book |
4. International transfers
We operate from India and some of our processors are based outside the United Kingdom and European Economic Area, including in the United States. This means personal data of UK and EU visitors is transferred internationally.
Where we transfer personal data outside the UK or EEA, we take steps to ensure it remains protected to an equivalent standard, and we keep our transfer arrangements under review.
5. How long we keep it
| Data | Retention |
|---|---|
| Enquiries that did not become clients | 24 months from last contact |
| Client records | For the duration of our relationship, and afterwards where needed for contractual, accounting or legal reasons |
| Analytics data | Per Google's retention setting, currently 14 months |
6. How we protect it
- Data is transmitted over encrypted connections (HTTPS).
- Our database sits behind authentication and is not publicly accessible.
- Access to enquiry records is limited to staff who need it.
- The admin dashboard is password protected.
No system can be guaranteed completely secure, but we take measures appropriate to the data we hold.
7. Your rights
If you are in the UK or EU, you have the right to:
- Access — ask for a copy of the personal data we hold about you
- Rectification — have inaccurate data corrected
- Erasure — ask us to delete your data
- Restriction — ask us to limit how we use it
- Portability — receive your data in a portable format
- Object — object to processing based on legitimate interests
- Withdraw consent — for anything based on consent, such as analytics
To exercise any of these, email info@outrightsolutions.net. We will respond within one month.
If you are unhappy with our response you can complain to your local data protection authority. In the UK that is the Information Commissioner’s Office.
8. Cookies
| Set by | Purpose | Set without consent? |
|---|---|---|
| Google Tag Manager / Analytics | Understanding how the site is used | No — only after you click Accept |
We do not use advertising or cross-site tracking cookies.
Your cookie choice is stored in your browser’s local storage rather than a cookie, so we do not ask again on every visit. It is used only to honour your preference, never for tracking.
Changing your mind — you can withdraw or give consent at any time, as easily as you gave it:
9. Children
Our services are for businesses. We do not knowingly collect data from anyone under 16.
10. Changes to this policy
We update this page when our practices change and revise the date at the top. Material changes affecting how we use your data will be communicated where we are able to.
